We spoke with some of Chicago’s top event producers about the AV partnerships that kept their shows bulletproof. Their takeaways? Members of AV Chicago’s team recently traveled to Vancouver, Canada, for the Event Production Network (EPN) Leadership Symposium hosted by member company Pro Show AV at the Vancouver Convention Centre. This annual event brings together EPN members, which AV Chicago has been part of since 2022, from across North America for several days of learning, collaboration, and innovation. It provides valuable professional development opportunities for event production leaders through vendor showcases, educational sessions, and networking events. 

To ensure all attendees engage in tracks that best suit their business and career advancement needs, the symposium planning team chooses focus areas based on feedback from EPN members. AV Chicago’s team participated in the three main tracks: 

  • Finance – Anne Celino, our Director of Business Services, learned about the changing role of finance in an AI-driven world, including how to use AI prompts for data analysis. She gained tips on preparing concise and impactful financial reports and best practices for strategic business partnerships. 
  • Executive – AV Chicago’s Co-President & Owner, Justin Frick, and Andrew Brode, and Vice President Amanda Eberle took part in peer roundtables to discuss current industry challenges, improve business strategy, and foster operational innovation. 
  • Leadership –George Bach, our Labor Logistics Manager, discussed managerial skills, including strategies for leading change and building effective one-on-one communication with teams. 

When not participating in the training tracks, our team attended a vendor showcase where technology providers presented their latest products. This allowed us to explore innovative technology so that we can share it with you, our clients, to use at upcoming events and conferences. 

The event also provides our team the chance to connect with and meet other EPN members to discuss potential collaborations, helping us grow our network across the US and explore ways to better support events outside of Chicago.  

Participating in events like the EPN Leadership Symposium is a great way for us to continue to grow as leaders in the event production industry, ensuring our clients have access to the latest and greatest for their events. In the future, we would love to host an upcoming EPN training session to showcase our new office space, further strengthening Chicago’s role as a hub for innovation in the AV industry and bringing industry leaders together for more collaboration. If you’ve ever sat in a production meeting and felt like the AV team was speaking another language, you’re not alone. From line arrays to confidence monitors, the world of event AV has its own vocabulary. But learning the basics can go a long way toward smoother planning, clearer communication, and stronger outcomes.

Here’s your cheat sheet to speaking “Event AV” like a pro:

🎛 Audio Terms

Mixer (Audio Console) – The brain of the audio system. It controls what’s heard through the speakers and allows adjustments to volume levels, EQ (equalization), and more.

Wireless Lav/Lapel Mic – A small, clip-on microphone often used by speakers or presenters. It’s hands-free and discreet.

Handheld Mic – Exactly what it sounds like — a mic held in the hand, often used for Q&As or performances.

Line Array – A stack of speakers arranged vertically for consistent, powerful sound coverage across a large space.

Feedback – The high-pitched squeal you never want to hear. It occurs when sound from speakers loops back into a microphone.

🎥 Video Terms 

Switcher – A device that allows you to switch between multiple video sources (such as a laptop or camera) in real time.

Projection Mapping – The art of using projectors to transform physical spaces (like walls or sets) with immersive video content.

PJ – Another way to say a projector.

Confidence Monitor or DSM (down stage monitor) – A screen placed on or near the stage, facing the presenter, to display slides, speaker notes, or timers—so they don’t have to turn around.

IMAG (Image Magnification) – A live video feed (usually of a speaker) displayed on big screens to help the audience see clearly.

💡 Lighting Terms

Uplighting – Lights placed on the floor that shine upward on walls or columns. Ideal for adding ambiance and color to the space.

Gobo – A stencil or template inserted into a lighting fixture to project a shape, pattern, or logo.

Wash Light – A soft, even light that “washes” a space in color or white light.

Spotlight – Focused lighting used to highlight a presenter or specific area.

🧠 Tech Crew Roles

A1 (Audio Lead) – They manage all things sound.

A2 (Audio Assistant) – Supports the A1, usually handling microphones and backstage cues.

V1 (Video Lead) –  Oversees video playback, switchers, and screen feeds.

L1 (Lighting Designer) – Designs and runs the lighting for your event.

PM (Project Manager) – Your go-to for everything. They coordinate the crew, timelines, gear, and run of show.

TD (Technical Director) – Oversses the technical aspects of an event, overseeing the setup, operation, and troubleshooting of all technical equipment, such as sound, lighting, video, and stage design. They ensure the event runs smoothly and meets the production’s requirements. 

🧰 Other Useful Lingo

Load-In / Load-Out – The setup and teardown process for AV gear. Time it right — it’s not a quick job.

Cheeseborough – It is a type of pipe clamp that is used to fix equipment or scenic elements to truss or other pipe structures.

Gaff Tape – A heavy-duty, cloth-backed adhesive tape, that is strong yet has easy-to-remove adhesive and is a non-reflective matte finish. It’s known for its versatility in securing cables, labeling equipment, and generally keeping things tidy and safe on events.

Rigging – The process of hanging gear like lights or speakers from trusses or ceilings.

Backline – Musical instruments and gear like drum kits or amps provided for performers.

Run of Show (ROS) – The master schedule detailing every cue, segment, and presenter.

This collaboration aims to create an inclusive, engaging, and adaptive learning environment tailored to the unique needs of autistic students. The SMART Board RX Series, featuring a 75″ UHD 4K touchscreen with up to 40-point simultaneous touch via HyPr Touch with Advanced IR technology, offers intuitive, touch-friendly displays that keep students focused and engaged. The system includes built-in teaching tools such as graphic organizers, interactive backgrounds, and ready-made digital manipulatives for various subjects, enhancing the educational experience for both students and teachers (Smart Tech).

“Our goal was to help provide a technology solution that would allow for these students to have an additional tool to help expand their educational opportunities,” said Amanda Eberle, Vice President of AV Chicago and Show Ready Collective. “Taking the time to make sure the SMART Board is installed correctly, expanding the flexibility and opportunities for teachers to switch between lessons and utilize more exercises and videos into their curriculum.” Students who previously had limited access to this type of technology, now, with guidance from staff, have access to hands-on lessons using the SMART Board.

For the second consecutive year, AV Chicago partnered with The Scion Group, a leader in high-quality student housing, to support their three-day gathering at the Chicago Marriott Downtown. The event featured an awards show, keynote speakers, breakout sessions, and interactive touchpoints designed to entertain and engage attendees. Here’s a deeper dive into the elements that contributed to this stunning event production and a few fun interactive elements we took from idea to execution.

Main Stage 

Three large-scale LED walls were constructed for the main stage using 200 tiles of Theatrixx Nomad 2.6mm LED tiles. Controlled by the Aquilon Switching System and the Resolume Media Server, the displays showcased stunning, full-raster video content to elevate the keynote sessions and presentations. 

A blend of technology, including Astera Titan Tubes, ETC Halcyon Titanium, Mac Aura XB, and ETC Colorsource Spot V, was used to enhance the lighting of the various sessions, with all elements managed via the GrandMA 3 console. 

Over 60 Astera Titan Tubes contributed to creating custom-designed frames along the backline of the main stage. This innovative backdrop mirrored the color effects of the videos projected during the event, fostering an immersive atmosphere that enhanced the visual experience during the presentations.

Let’s Play the Feud!

One of the more unique elements of the event was the request to help them design a Family-Feud style game show, adding a touch of lighthearted competition to the festivities. We supplied them with a game show buzzer system, tabletop gooseneck mics, and scenic pieces that emulated the Family Feud aesthetic. These games helped break up the various sessions, providing attendees with an engaging element they wouldn’t forget. 

Breakout Rooms & Additional Signage 

Smaller-scale video and audio systems were constructed to support the breakout rooms, creating an intimate setting for more in-depth discussions. By building simplified systems, they became easier to control and met the various sessions’ needs.

We also had the opportunity to utilize our Theatrixx 1.88MM LED totems to support wayfinding throughout the hotel and display the seating chart for the awards dinner, allowing technology to enhance elements traditionally communicated through printed signage. 

Setup & Execution 

AV Chicago provided a team of about 35 AV professionals to execute and manage various elements over the three days. During load-in, the team conducted a full data load-in and rehearsals before the show, ensuring everything ran smoothly and that The Scion Group had the opportunity to incorporate any additional updates or changes. While much of the event was similar to the previous year, AV Chicago needed to introduce some new event elements, including the custom frames and game show-style setup, which enhanced the overall production value. 

One complicated factor was the Astera lighting tube frames, which required custom rigging for proper hanging. Since this was our first year working with this design, we relied on the expertise of our in-house fabricator, who managed the welding and construction of the frames, allowing us to fully realize this idea for The Scion Group. 

From immersive lighting to game show-style moments, AV Chicago ensured that every detail contributed to a new and engaging experience for attendees who may return to this event year after year. What might we add next year? You will have to wait and see!
